Problem

The employee responsible for arranging a meeting with colleagues from another branch of the company could book only one meeting room within his office. It was inconvenient for the meeting participants and often became the reason for overlays in the general schedule. Also, it was impossible to specify the location for a regularly recurring meeting.

Solution

In the administrative section of the portal, create a group of users called Meeting Rooms and fill it with a list of meeting rooms available to all company employees.

To book a meeting room, one needs to go to the Calendar, create an event, and select a suitable venue. The selected meeting room gets reserved for the entire time of the meeting and becomes unavailable for booking by other employees.

Then, implement the possibility to book several meeting rooms for a single event (for example, for the meeting that is going to be attended by colleagues from various regional branches of the company). To book multiple meeting rooms, one needs to select the desired number of rooms in the drop-down list when creating a meeting.

Lastly, make it possible to specify the venue for regularly recurring events. Thus, one can select a venue just once when creating a meeting, and it will get reserved for all meetings planned.
